Brand Rollout Guidance: Macon & Joan Brock Virginia Health Sciences at Old Dominion University

Dear Colleagues:

We are excited to share more information with you about Macon & Joan Brock Virginia Health Sciences at Old Dominion University, including brand identity details, along with tools and resources to assist you during this transition.

As a reminder, an institutional brand is much more than its logo or official marks: Our brand tells our shared story — past, present and future — and it is our responsibility to safeguard that story by upholding the highest brand standards. Each of you plays a part in that important work.

Further, we are pleased to share that you will continue to receive service from and work in collaboration with the dedicated team of professionals in Marketing & Communications at Macon & Joan Brock Virginia Health Sciences at Old Dominion University, formerly EVMS Marketing & Communications.

I look forward to providing additional updates and information soon alongside Kimberly Osborne, who recently began her role as Old Dominion’s Vice President for University Communications and Chief Marketing Officer.

What is the official name of the new entity?

What colleges and schools fall under the umbrella of the new entity?

Macon & Joan Brock Virginia Health Sciences at Old Dominion University is comprised of five colleges and schools and signifies the highest standard in medical and health education and patient care. The new entity includes the following:

What about the EVMS Medical Group?

The EVMS Medical Group will continue to provide high-quality care to patients while remaining a separate nonprofit under the direction of the EVMS Medical Group Board of Directors and Dean of Eastern Virginia Medical School. The group’s full name will be Macon & Joan Brock Virginia Health Sciences EVMS Medical Group at Old Dominion University. The integration has had no effect on appointment schedules or locations.

Can I start using the new name on forms and paperwork now?

Yes. Macon & Joan Brock Virginia Health Sciences at Old Dominion University is our official name effective July 1, 2024. Names of the five schools and colleges, and the EVMS Medical Group, also have been approved for use.

Can the name be abbreviated?

As we work together to introduce this new entity, the name should be used in its entirety on all references.

When will the new logos be available for use?

The Marketing & Communications team, in collaboration with a third-party partner, recently completed a brand book to support Macon & Joan Brock Virginia Health Sciences at Old Dominion University. It is currently in final review, and we anticipate that it will be available the week of July 29.

You can visit myPortal to review an abbreviated brand book and to access logos for the overall institution (Tier 1) and the five colleges/schools and the EVMS Medical Group (Tier 2).

Tier 3 logos — which represent academic programs, departments, offices, centers and initiatives — are in production and will be available after the full brand book is released.

What about patches and white coats?

We are excited to announce the release of our new white coats, with updated branding representing Macon & Joan Brock Virginia Health Sciences at Old Dominion University.
White coats are now available to order for the following entities:

Three coats with new patches and branding will be provided to appropriate faculty, residents and staff at no cost to the department. Please find a White Coat Order Form with detailed instructions on myPortal. Choose a representative from your department/program to complete this form by Wednesday, July 31, and return to the Macon & Joan Brock Virginia Health Sciences at Old Dominion University marketing team at news@evms.edu.

Student Affairs is coordinating the order for new students to ensure coats arrive before orientation. Each new student will receive one new coat as has been the case in years past. The office will reach out to existing medical school and health professions students in the coming weeks to organize exchange of current coats for two new white coats with updated branding.

We currently anticipate distribution of the coats to begin in August for orders submitted by the deadline. The sooner the order forms are completed and submitted, the faster your coats will arrive.

When will the EVMS website be updated?

Evms.edu is still a functioning URL. We will update you when the web address changes.

Our Web Technologies team has been working in close coordination with Old Dominion’s Web & Digital Strategy team throughout the integration process on a strategic plan to update and migrate online content seamlessly. That work is ongoing and, in many cases, depends on updated brand architecture. Please be patient as the work proceeds. We appreciate your responsiveness to the Web Technologies team’s request for assistance from your department or program.

Will the Marketing & Communications team continue to publish a weekly newsletter and magazine?

The Weekly Pulse and our online newsroom will be rebranded and continue to serve Macon & Joan Brock Virginia Health Sciences at Old Dominion University. EVMS Magazine also will be rebranded and continue as a stand-alone publication. Both communications channels will broaden coverage to include the Ellmer College of Health Sciences, the Ellmer School of Nursing and the Joint School of Public Health (approval pending).

In the coming weeks, we also will share an updated editorial style guide that will help clarify language, punctuation and other stylistic choices for our online and printed content.

Are new templates for letterhead, Zoom backgrounds and presentations available?

Digital letterhead, Zoom backgrounds and presentation and email signature templates are available on myPortal. Other templates and resources will be added throughout the coming weeks.

Templates for printed stationery, envelopes, business cards and other materials will be available later in July and should be ordered through Old Dominion’s approved process as outlined on the university’s Procurement Services’ Contract & Purchasing page. How can I order printed and promotional items?

Approval must be obtained for all communications and marketing materials from the Marketing & Communications team at Macon & Joan Brock Virginia Health Sciences at Old Dominion University or Old Dominion’s Division of University Communications. (For more information, see University Policy 2010.)

These materials include, but are not limited to, advertising, signage, social media, presentations, printed publications, including brochures, magazines, annual reports, event programs and postcards, along with promotional products or merchandise, recruitment materials for students, alumni and faculty/staff videos and web pages.

Steps to purchase communication and marketing materials

For materials designed by Marketing & Communications:

  1. Departments should continue to input requests into FunctionPoint. If you need a FunctionPoint account, reach out to news@evms.edu. Our team is working diligently to assist all requests in a timely fashion in the order they are received.
  2. Once you have a final file, you can reach out to contract vendor(s) to obtain a quote. Locate contract vendors for printing and promotional items at https://www.odu.edu/procurement/contracts. In some instances, Marketing & Communications will act as a liaison with the vendor on completion and delivery of the final product. Please communicate with your department account representative for more information on a project basis.
  3. Once you have obtained a quote from a Contract or SWAM vendor, you can place an order via either PCard (up to the cardholder’s per transaction limit not to exceed $4,999.99) or an electronic eVA purchase order.

For materials designed outside of Marketing & Communications:

  1. Materials created outside of Marketing & Communications must be submitted to our department for review. Please reach out to news@evms.edu for questions about the approval process.
  2. Once you have obtained approval from Marketing & Communications, you can reach out to contract vendor(s) to obtain a quote. Locate contract vendors for printing and promotional items at https://www.odu.edu/procurement/contracts.
  3. Once you have obtained a quote from a Contract or SWAM vendor, you can place an order via either PCard (up to the cardholder’s per transaction limit not to exceed $4,999.99) or an electronic eVA purchase order.

How do I order giveaway (swag) items?

Through a partnership with the Collegiate Licensing Company (CLC), the Old Dominion Licensing Office monitors use of the University’s indicia and manages more than 180 licensees producing products bearing the institution’s logos.

Per Old Dominion policy, “a licensed vendor must be used for all campus merchandise, whether for departmental use, promotional giveaway items or for fundraising resale. Please obtain appropriate approval from your department’s leadership before ordering. Once you have obtained the appropriate approvals needed, you may choose a licensed vendor to manufacture your product.” Find out more.

When can I update my program’s brochure, banners and other collateral pieces?

Please continue to input requests for all designed materials into FunctionPoint. If you need a FunctionPoint account, reach out to news@evms.edu.

Can our department still wear EVMS-branded clothing or use EVMS-branded supplies?

All departments and programs are encouraged to retire legacy branded items as soon as possible and replace them with materials and apparel with the updated branding. Any communication or outreach with external audiences should utilize the new Macon & Joan Brock Virginia Health Sciences at Old Dominion University branding.

I manage a social media account. Should I update my profile and bio?

In the coming weeks, we will provide guidance and brand assets to social media managers of approved social media accounts.

Should Functional Team leads still submit integration-related communications requests via the Asana intake form?

Yes. This form is to be used for the submission of content related to the integration. Please note that 30 days of lead time is requested for all communications to allow time for the appropriate level of approvals.
