Important financial services updates

We are writing to share information about changes in the financial and administrative areas as part of the upcoming integration between ODU and EVMS.

EVMS and the EVMS Medical Group will benefit from the various information systems currently used by ODU.

Banner will be the enterprise resource planning (ERP) system for the integrated institution and will have a combined Chart of Accounts consistent with ODU’s current structure and reflective of the budgeting units of the Macon & Joan Brock Virginia Health Sciences at Old Dominion University and EVMS Medical Group. Banner will be the integrated financial solution, including Budgeting, Accounts Receivable, Accounts Payable, Payroll, and General Ledger.

The Commonwealth of Virginia’s electronic procurement system, eVA, will be used for FY25 purchase orders and formal solicitations beginning July 1, 2024. Representatives from Materials Management (EVMS) and Procurement Services (ODU) have been reviewing contracts and are working with vendors to assist with this transition. Neal and his team will continue to support the Macon & Joan Brock Virginia Health Sciences at Old Dominion University and EVMS Medical Group.

Additional changes already have been shared with faculty and staff who currently use EVMS Procurement Cards. EVMS will adopt the ODU PCard program, and cardholders will be issued new cards. Department heads and chairs have received a formal communication about this from EVMS Business Management.

Web Time Entry (WTE) will be the leave management system of record for all employees starting July 1. Payroll will not be disrupted and will follow ODU pay practices as of July 1. 

Please be on the lookout for additional training information in the above areas, such as Banner, eVA, WTE, and a variety of Commonwealth-mandated trainings. Also, a list of critical finance dates is posted to myPortal for your awareness.

We look forward to implementing these important changes on July 1, and we are excited about this next chapter for our integrated institutions.
